Serial Number and Lot Tracking
Lot-Lot Number is used to track and monitor the life cycle of a product in the production, purchasing, sales and service processes, and Serial Number is used to singularize each product.
Lot Number: This is the group or batch number given to the products. Stocks resulting from production with the same components under the same conditions, on the same equipment or workstation, are separated by assigning a Lot Number. Similarly, non-manufacturing companies can label the same products arriving at import or warehouse goods receipts with the lot number. Thus, segregation of goods makes it easier to monitor stock and perform quality control. Grouping and labeling goods purchased from different suppliers and at different times, especially in large warehouses, allows tracking the product life cycle.
Serial Number: It is a number assigned to each product to make it unique and distinguish that product from others. While the serial number was used only for warranty control or version control, in recent years it has begun to be evaluated under the title of PLM - Product Lifecycle Management, especially in the pharmaceutical and food industries. In Workcube, every product, from a jar of pickles to a computer, from an automobile to a fabric ball, can receive a Serial Number on a unit basis.
Lot and Serial Number Usage Practices: Serial Number and Lot Number can be used simultaneously or separately. For example, a company that produces chemicals can assign a lot number to the 100-ton production result and fill it into barrels, while labeling which batch of production each barrel comes from. A computer importer identifies the computers it offers under warranty by recording the serial number of each computer in its system. When a computer of the same brand and model is brought to this business, it can easily determine whether it is the computer it sells by checking its Serial Number.
In some cases, both Lot Number and Serial Number can be used at the same time. While the jar is singularized by printing a unique QR code on a pickle jar, both Lot No and Serial No information can be embedded in the QR code. Thus, PLM can be done. While Lot No. gives information about which field the cucumber used in a pot of pickles came from and when it was manufactured, Serial No. gives filling and packaging information. Serial Number uniqueizes the product and provides the opportunity to monitor the entire life cycle of manufacturing, storage, sales and after-sales.
Attention: System > General Settings > Company Flow Parameters "Apply Warranty Tracking, Repair and Serial Number?" When the option is yes, it becomes mandatory to enter the Serial Number in transactions for products tracked by Serial Number.
Lot Number and Serial Number Tracking in Product Records

For products that require Lot and Serial Number tracking, the above checkboxes must be selected.
Lot Number Tracking: This If the checkbox is selected, the lot number is followed in production results, consumption transactions, and buying and selling transactions.
Serial Number Follow: If this checkbox is selected in the product detail, the serial number is followed in the production result and consumption transactions, buying and selling transactions.
Lot Number and Serial Number in Basket Settings
All buying and selling in Workcube. Basket is used in entry-exit documents. In the basket settings used in each document, the Lot No column must be selected and the Warranty Serial Number checkbox under Basket General Information must be selected.

During checkout operations, rows can be added to the basket by searching for Serial Number and Lot Number with the barcode device. To use a barcode device, the barcode device option must be active in the basket settings.
Lot Recording Procedures
Products with the Lot tracking checkbox checked are recorded in the following transactions.
- Production Result
- Purchase Delivery Notes
- Sales Delivery Notes
- Imported Goods Receipt
- Inter-Warehouse Delivery Notes
- Stock Transfer Transactions
- Stock Receipts: Consumables, Waste, Counting
- Service Transactions
Lot entry and exit records are integrated with the transactions listed above. For each stock transaction, the Lot Number of the stock is entered in the basket line. Lot Number is tracked exactly in stock records. If the same stock has more than one Lot Number, a record is made by opening a row equal to the Lot Number for that stock. Thus, the basic structure of grouping, counting and cost tracking of stocks on a lot basis is created.
Attention: In businesses that use Lot No and Serial No tracking, the Lot No column must be selected in the basket settings in the implementation.
Serial No Tracking Transactions
- Production Result
- Purchase Delivery Notes
- Sales Delivery Notes
- Imported Goods Receipt
- Stock Transfer Transactions
- Stock Receipts: Consumables, Waste, Counting
- Service Transactions

When you click on the Serial No. icons on the QR Code or baskets on the Workcube pages mentioned above, the Serial No. recording screens are accessed.
Serial No. records are not recorded directly to the document and basket lines. Depending on the document and basket line, Serial Number Editing and Registration is done on the screens. Each serial number registration transaction is recorded according to the stock and lot number and line registration number in the above documents. Serial Numbers that are not entered depending on the production result, receipt and imported goods entry cannot be used in sales and stock receipts. Because Workcube checks the entry to output the Serial Number. A serial number without an entry cannot be output.
Serial Number entry is used for 2 purposes: To deduplicate stocks and to be able to follow up on warranty for guaranteed products...

3 methods are used to enter the Serial Number.
- Sequential: There are 3 inputs in the Product Serial Number. The values entering these inputs generate numbers according to the radio buttons from the beginning, middle and end.
- If the "From the Beginning" Radio Button is selected: Product Serial Number, consecutive numbers are added to the end of the value entered in the first input.
- If the "Middle" Radio Button is selected: Product Serial Number, consecutive numbers are added to the end of the value entered in the second input.
- If "From the End" Radio Button is selected: Product Serial Number, consecutive numbers are added to the end of the value entered in the third input.
- Individually: Product Serial Numbers are assigned manually.
- From the file: Product Serial Numbers are imported.
Actions to be taken for products purchased and sold with warranty
Warranty categories determine the warranty conditions and warranty period given to the products. Depending on the start date of the warranty and the selected warranty category, the coverage date is determined by adding a period. By law, the warranty scope and date given to customers are determined depending on the sales or delivery date.

Creating Serial Numbers According to the 1st and 2nd Unit
A product may have more than one unit. For example, rice, whose main unit is kg, can be put in 25 kg bags. Or fabric sold by the meter can be packaged in balls. While the washing machine moves alone, some products can move in bulk. Workcube allows the production of Serial Numbers as many as the 1st unit or the 2nd unit. It can single out fabrics of 100 meters per roll or fabrics of different meters into balls. Individual labels can be printed on each ball. Workcube uses serial number deduplication, which is widely used in the electronics industry, in Metal, Wood, Paper, Food and many other industries.
