Outgoing Money Order is one of the basic financial liability management processes that ensures that the money transfers (Money Transfer, EFT, FAST, etc.) made from your business's bank accounts to suppliers, employees or third parties are recorded in the system accurately, completely and on time.

Money transfers from its own bank accounts to the accounts of creditor parties in return for goods or services purchases, raw material supplies, debt payments or advance transfers are subject to bank transactions. - Financial Statement and Accounting Integration: By eliminating the burden of manual accounting recording, it prevents human errors and ensures that the balance sheet and expense/cost tables remain updated in real time.
What to Pay Attention to When Entering Outgoing Money Orders in Workcube Should it be?
When creating an outgoing transfer record, the following points should be taken into consideration carefully to protect the integrity of financial data:
- Current Account Selection: The current account of the supplier or creditor to whom the payment will be made should be selected correctly. Transfers entered into the wrong current account disrupt the debt tracking and create the risk of repeated payments to the supplier.
- Bank Account and Currency Type: The correct bank and branch account to make the payment must be selected. If the transaction is in foreign currency (USD, EUR, etc.), the currency type in which the recording is made and the CBRT / institution exchange rate on the date of the transaction should be checked. If a task related to exchange rate information is added in the Robotic Tasks field, the robot will work regularly every day and the exchange rates will be automatically withdrawn from the Central Bank.
- Transaction Date: This is the official receipt date when the money leaves the bank account. Especially in foreign currency transactions, the date entered is important as the exchange rate is determined according to the selected date.
- Amount and Bank Expense/Commission Deductions: If there is any deduction made by the bank (EFT expense, BSMV, etc.), the net amount received and the gross amount should be separated; The expense portion should be transferred to the relevant expense account. In this way, it becomes subject to the budget.
- Invoice Closing Process: If the payment is made based on a specific invoice, the invoice closing process is opened after the document is saved, the relevant open purchase invoices must be selected. This process is essential for the accuracy of receivables aging reports. This function is opened from the company flow parameters. If desired, it can also be done manually.
- Project and Expense Center: In cases where project-based accounting is made, the remittance record must be associated with the relevant Project, Expense/Revenue Center or Business Unit.
- XML Settings: XML settings should be checked before outgoing remittance. For example; In foreign currency transactions, it is determined which exchange rate will be bought/sold.
- Bulk Outgoing Money Transfer: Outgoing Money Order transaction can be entered individually or in bulk. Especially in the field of Human Resources, salary payments are managed through bulk outgoing transfers. Data can be entered into these lines one by one, or it can be added by preparing a file with CSV Import on the bulk outgoing transfer registration page. After the document is saved, separate accounting and current transactions will be created for each current account entered in the document.

- Offsetting Voucher: An accounting voucher is created in line with the criteria selected in the document and determined in the transaction category.
- Related Documents and Notes: If there is a special note regarding the bank transaction, it can be added or, if desired, a bank receipt for the outgoing payment can be added.
