e-Archive Integration and Parametric Definitions
e-Archive application in Workcube progresses with Special Integration. e-Archive definitions, e-Archive sending and reporting operations are done directly through the system and there is no need to install a different application. Parametric definitions need to be made before use.
Integration Definitions
GIB integration and verification are done through definitions. Each product has its own username and password.

e-Archive Transition Date: This is the date you are active on the GIB.
Test: With the box, you first perform the tests in your test environment and then your live transition.
UBL: With UBL Version, you can choose the new versions that come with the legislation.
Company Code, User Name, Password: Information from the integration is entered.
e-Archive Prefix (Shop): You can define your Series and Number.
e-Archive Prefix (Internet): If you are using e-Commerce, you can define your Series and Number.
Template File: A template made specifically for your company instead of standard You can add must be marked.
Type:e-Archive Store and Internet serial numbers must be different. Their templates are also different.
Reports
Path: Reports > Standard Reports
Integration; It means that technologies, software and systems can automatically communicate and exchange data in a compatible, interconnected and understandable way. With Full Integration, you can track your work more easily and save time and space. In Workcube, e-Government integrations proceed with Reports and Scheduled Tasks.
Taxpayer Transfer Report is withdrawn from the Revenue Administration and it queries whether your clients are e-Archive taxpayers and updates it in the system accordingly.
Parametric Definitions
The tax code published by the Revenue Administration, payment method code, unit of measurement codes, etc. There are Coding Systems and Identity Schemes used within the scope of UBL-TR.
Each code definition is made on its own screen. These definitions are made only once during the implementation and no additional regulation is required.
Company Definitions
The following fields must be defined on the Company Definitions screen. These definitions allow your Company's information to be sent in your e-Government transactions.
Path: Control Panel > SYSTEM > General Settings > Company Definitions
Payment and Tax Definitions
Tax Code parameters in Payment Tax Methods come from UBL-TR Code Lists.
Path: From the Control Panel > SYSTEM > Parameters screen, the "Tax Code" and "Payment Method Code" related to Payment and Tax must be selected.
VAT, SCT, SCT, BSMV, Withholding Tax, Payment Method
Tax code definition varies depending on your calculation method.
Transaction Categories
Path: Control Panel > BPM > Transaction Categories
“Invoice Type” and “Scenario” must be selected from the Transaction Categories screen. The Invoice Type field is default based on the invoice type you have selected and cannot be changed.
Invoice Type: Sales or Returns must be selected.
If there is Online Sales, partner/public selection must be made in the transaction type. Otherwise, there is no need to make a definition.
Units
Each unit has a unit of measurement code. Unit definitions are updated by making selections according to the Unece* Standard.

Customer - Supplier
Path: ERP > Sales Distribution > Customer-Supplier
Web services work according to TIN/TC ID Number. Depending on the TIN/TC ID number you have defined, it is determined whether your client is an e-Archive Taxpayer or not. If your client is a sole proprietorship and not a legal entity, the TR ID number field is filled in by ticking the Person box.

Fields that need to be defined in the client detail;
- TC ID/TIN information
- Address information
- e-Archive Invoice selection
Electronic Invoice: When this selection is made, the invoice will be sent both as a pdf and as an e-mail to the e-mail address defined in the Corporate Account detail.
Paper Invoice: When this selection is made, it will not automatically send an invoice as an e-mail. The invoice details can be printed out and sent manually if desired.
e-mail definition must be made if Electronic is selected, otherwise the invoice will not be sent as e-mail. If you want to send the same invoice to more than one person, you must define an e-mail address for the employee detail and tick the Send e-Archive Emails box.
If there is an internet sale, the following information is also sent. Therefore, you should definitely tell your Project Manager if you are making sales over the Internet before Implementation.
- The web address where the sales transaction is made
- The name and surname/title of the person carrying the shipment
- The TIN/TC ID number of the person carrying the shipment
- The Shipment Method to be Used
- Payment to be Used Method
You can check missing/undefined parameters with the Control Report under the e-Government Panel. When you click on the missing parameters, it will direct you to the definition page.
After all the definitions have been made, you can now start sending and receiving invoices.
