WOC - (Workcube Output Center)


It is a very important process for a document to be produced in Workcube, as well as to print that document, easily archive it on the cloud server and send it to the relevant people via e-mail. In particular, multiple operations can strain performance in unscaled infrastructures. WOC queues multiple output tasks, whether PDF, Excel or DOC, or printed. In this way, thousands of outputs are produced, archived, and sent by mail, while operating the processor, memory, and bandwidth usage at an optimal level. It also logs all output operations, increasing information security.

WOC Areas

  1. Template: The template that can be used or specially designed for the relevant function is selected in the in-system printer documentation.
  2. Output Type: The action to be taken by the template is selected. There are 4 options.
    • Printer: Sends the template directly to the printer.
    • Mail: Sends template as an e-mail.
    • Download: It downloads the template to the user's computer by selecting one of the PDF, Excel, and DOC formats.
    • Archive: Saves the template to DAM - Digital Archive by selecting one of the PDF, Excel, and DOC formats.
  3. Template View: This shows a preview of the selected template.
  4. Active Tasks: Shows the status of outputs that multiple users send to WOC. 
  5. Tasks: Lists the senders of the next outputs. In this way, users can monitor the status of their submissions.

What Does It Do?

WOC is a tool that allows you to preview your documents before they are printed, download your preview document directly in the file format you want (pdf, word, excel), archive the relevant document in a digital archive, and send the document to the people you want or to the account or contacts associated with the document.

For example, let's take a look at an invoice process.

  • You have issued more than one invoice in Workcube. You want to archive these invoices in a digital archive or send an e-mail.
  • You can send each invoice to WOC in bulk or separately from the invoice list.
  • After choosing the output type and format for the invoices coming to WOC, you need to fill in the required information according to your output type selection and save it.
  • After registration, the documents will be added to the task list and will be put in order after the previously added records.
  • By clicking on the complete tasks button, it will start to run the tasks in the list in order and will make small reports about the submission to you.
  • Failure of the operation in any order of the list will not affect the operation of the others, and you will be able to get the error-related return immediately.

How to Use?

  1. Send the documents you want in bulk or individually to WOC.
     
    • In order to send the documents one by one to the WOC, you can click the print icon, usually in the last column of the relevant row, or the print icon in the tab menu on the detail or update page of the relevant record.
    • To send documents to WOC in bulk, you must select the records you want to send to WOC from the list pages, and then click on the export icon and select "Send selected to WOC".
  1. Select one of the documents you previously defined from the Dashboard > System > General Settings > System Printer Files page and preview it.
  2. Choose an output type:
     
    • Print: It is the default option when WOC is first installed. You just have to select this phrase and then click the Print button to send it to the printer.
    • Download: It allows you to directly download the document displayed in the preview in the file format you want. 
    • Mail: It allows you to send the document displayed in the preview in the file format you want, to the account or contacts associated with the document, or to the e-mail addresses you specify.
    • Archive: It allows you to archive the document displayed in the preview, in the file format you want, in your digital archive.
       
  3. Choose a format: Choose in which format (pdf, excel, doc) you want to produce the document displayed in the preview.
  4. Add filename: Add the name of the file to be generated

Note: As explained above, some form elements will be shown or hidden according to the choices you make. The great thing about WOC is that it only asks you for as much information as it needs.

In cases where the output type is mail or archive, some additional information is requested, you can fill them in and reduce the WOC to the task list after saving it. Then you can run the tasks sequentially by clicking the Complete Tasks button. From the color of the flag icon in the task list, you can track whether the task can be run or not, and if not, the reason can be found by clicking the red flag.


Frequently Asked Questions

I get a Preview Unable to display in the WOC template display area, what should I do?
This problem can be caused by two different situations.

1. The template may not be included in the in-system printer documentation

2. There is a template file, but there is an error in it. In this case, you need to examine the codes of the template file.

Important warning!

If you receive this warning in the template, you cannot save or print!
