Contacts


Contact Management is used to manage customers who are not affiliated with a specific institution and individual customers. You can see and manage all personal information such as contact, job, education, offers, orders, credit card, bank account, account statement, etc. You can define relatives associated with Contact, you can define additional cardholders in customer card applications.

The titles detailed in Accounts are also used in Contacts for the same purposes. Customer-related information such as a hobby, education, company, position in the account employee detail can be defined directly from the contact detail. Contact detail is divided into 4 main sections;

Member General and Contact Information: In this area, the general information and contact information of the member can be checked.

Personal Information: You can enter personal information such as education, gender, and marital status of the member in the personal information field.

Job Information: In this field, you can define the member's job information such as job, industry, title.

Sales Information: In this field, information such as the member's timeout period and whether he is a taxpayer are defined.


Other sections on the screen;

1-Potential: Contacts that have not yet reached the point of making a commercial purchase, newly established contacts are potentially recorded.

2-Affiliated Account: It is used to indicate the members of the company's affiliates and partnerships. In the detailed account analysis report, the accounts that are in the affiliated member relationship can be listed with a separate filter.

3-Active: Active indicates that the account is a contact that is followed regardless of whether it is a customer or a potential customer. Contacts that are decided to not work with or misidentified are marked as passive.

4-BSC Report: Financial information about the contact can be accessed, a graphic display of account-related transactions such as invoice order can be seen by selecting the date range.

5-Trainings: The training received.

6-E-Mails of Account: This is the screen where the mails about the member are displayed.

7-Hobby: This is the screen where the hobbies of Contact can be seen.

8-Competency: This is the section where competencies related to contact are recorded.

9-Meetings: All calendar entries created for contact can be viewed and new plans can be made.

10-Surveys: You can follow the surveys related to Contact, survey questions, whether the contact has responded to the survey and what he answered.

11-Accounting Periods: The association is made with the accounting period and the accounting account. When this definition is not made, a warning that the member's accounting definitions have not been made will be given when it is desired to make transactions in financial transactions.

This function is used especially for group companies. In Workcube, customer or supplier information is saved in one place (Customer-Supplier) and accessible to all group companies. In this way, different and incorrect records are prevented from being entered for the same customer or supplier within a group, and all companies are able to do business through a common information center. Access by group companies is possible by displaying the accounting period of that company in the member institution details.

12-Collaterals: Collateral letters associated with contact can be seen and created.

13-Account Statement: Displays the account statement from the beginning of the fiscal year to the current date. (The system displays this information from the finance and accounting modules.)

14-Risk and Employment Information: Working conditions related to contact are defined in the related field. E.g; Buy-Sell payment method, account limits, working price list, exchange rate, discount rates etc.

15-Add Another Adress: Different addresses are added from this field. Added addresses appear in the Other Addresses field in the detail.

16-Subscriptions: Returns the member's subscription information.

17-Account Details: The page with comprehensive and detailed information about Contact is accessed from here.

18-Trainings Provided: If Contact is a trainer, the training options he can provide can be ticked.


The following processes are performed with the help of the fields on the right side of the page;

Photo: A photo of the member can be added.

Financial Summary: Includes contact's credit information (debit or credit from the beginning of the fiscal year to the current date). This information is displayed in real-time by the system in line with the transactions made with the member in the finance and accounting modules.

Contact Team: In this section, the contact team is defined.

Branch Relationship: Branch relationship is established from this area and authorized persons can see the members of the relevant branch.

Notes: Special and warning notes about the account can be added. If this note is not wanted to be viewed by other users in the system, the private box should be selected. If a warning notice is desired to be seen in any field where Contact is selected, the warning box should be selected. You can update the notes you added. To do this, simply click on the link of the relevant note. After making the change/update you want on the screen that opens, click the "Update" button.

Documents: You can add a contact-related document or associate it with an existing document in your digital archive. This document can be an account-related agreement, financial situation or a member's working document.

Bank Accounts: Contact's bank account information can be saved in this section to be used in mutual commercial relations.

Credit Cards: Contact's credit card information can be saved in this section to be used in mutual commercial relations. In the case of using Virtual POS with the subscription, the credit card must be defined.

Credit cards added for security reasons will be displayed with the card type, the first three digits of the card number, and the expiration date. In order to update, the card number and CVV information are required to be re-entered.

Analysis: Analyzes about the member are displayed.

Site Access Rights: Site access can be defined to the member and defined accesses can be checked.

Related Institutions: Institutions that the member is associated with are listed.

Loyalty Card-Wallet: Loyalty cards are cards that businesses give to customers for free or for a small fee to encourage their customers and keep them using their services. Loyalty card definition is made in this field.

Contact Relationship: It can be associated with another member and the type of relationship can be defined.
