Customer Visits and Meetings


Customer visits and meetings are held for reasons such as analyzing customer requests, listening to complaints, problems in payments during collection periods, new sales opportunities, product-service promotions.



It is getting harder to ensure the continuity of customers and gain new customers due to the increase in competition day by day, decrease in customer loyalty, and increase in alternatives. Continuity is ensured by close relationships with customers or potentials.

  • In Workcube, visits are used as a visit business object. Process definition - authorization, parametric definitions, and data entries are required for the use of the visits business object.
  • Process definition – authorization; Dashboard > BPM > Processes > Visit Process page. All standard processes have been defined in Workcube. If there are stages other than registration in the process to be used, it should be defined. Authorizations are given by adding users to stages.


In the screenshot above:

  1. After saving the relevant stage, you can choose what kind of actions you want from this stage from the check-boxes.
  2. You can define the employees to be authorized for the processes with the + icon.
  3. You can add authorized positions.
  4. You can add employees who will receive notification and approval.
  5. You can also register the employees who will be informed when there is a situation in the stages.

  • Parametric definitions are made under the Customer Management section under the CRM on the Dashboard > System > Parameters page.


Visit Reasons

Route: Dashboard > System > Parameters > CRM > Visit Reasons


It is used to group the reason for the meeting to be held in the planning of the visit. It is used by making definitions such as weekly routine visit, project supervision, sales order, meeting, general visit.


Visit Result Categories

Route: Dashboard > System > Parameters > CRM > Visit Result


The results obtained after the meetings can be classified in relation to the reasons for the visit. Definitions such as "deficiencies were detected", "reported to the project manager", "a weekly routine visit was made", "a new order was received", "the customer is not interested in the company", "the sales meeting will continue", "the customer is generally satisfied" can be made.



Visit Detail

Relevant details can be added to the system by planning visits.

In the screenshot above:

  1. Enter the planned visit name,
  2. With the definition of authorized branch offices, sales teams in different branch offices can prevent each other's visit plans from being seen.
  3. Visits can be made within the specified dates,
  4. We can choose who can see our visit,
  5. The customers to be visited can be planned with the details of the person to be interviewed and the reasons for the visit.


Visit Results

As the planned visits take place, the users who make the visit can create the results related to the meeting. By entering the expenses related to the visit, the costs of the realized plans can be reported.
