Documentation and System Numbers


Document definitions are made for many transactions on Workcube and system numbers are given to these documents. When a document wants to be registered, the system automatically gives the registration document number. Thus, consecutively, the numbers proceed in the same directory for all users.

File Types

The concept of the file type is basically used to classify and track the source documents on which any record made on Workcube is based.

File types can also be used for legal records. For example, you do not receive an invoice for expenses such as tax payments, insurance payments, room and association membership payments, but you receive different types of documents such as tax payment receipt, room receipt. However, these are all legal expenses and must be recorded in the system as Expense Receipt. On the other hand, you may want to keep track of what document this expense is based on. You can also keep track of the type of source document by defining these document types.

While defining File Types, Fuseaction information of that screen (the area between = and & signs in the URL of the screen) that is desired to be used on which Workcube screens should be added to the document type definition screen.

Fuseactions can be added by separating them with commas.


Document Templates


Route: Settings > System > General Settings > Document-Form Templates


Document templates are used to provide fast, easy and standard quality entry of information recording, adding, reply, and follow-up notes. For example, if a template is selected after entering a business record, the template designed in the "html text area" fields is automatically displayed. In this way, information is entered easily. The template is created by selecting the documents using the template in the "module" selectbox.

Use as follow up template: When this box is checked, the prepared template can be used as a ready-made template when sending follow-up notes to the relevant people in the Call Center Applications detail.

Display Logo in Email: When this box is checked, it allows the company logo to be added to the prepared template while sending an e-mail.

License Agreement: When this box is checked, the prepared template is displayed when users log in to the system. Users cannot act on the system unless they tick the "I have read, I approve" box and save.
