Company Definition and Flow Parameters


Multiple companies are managed in a Workcube system. Basic definitions should be made for each company. Company flow parameters play a role in the correct operation of the system and in determining the operating rules. Correctly create the values described in the following headings and get advice from Workcube experts.



Company Definition

Route: System > General Settings > Company Definitions


Definitions of companies/businesses to be managed on Workcube should be made. A company database schema is automatically opened in the Workcube database for each company.


Company Flow Parameters

Company flow parameters enable customized system settings to be set for each company running on Workcube.


Parameters

  1. Company
    This data is taken from Company Definitions. Branch: Takes from the branch details (Based on the branch you are in)
  2. Company Vision
    It is the text field where the company vision is added.
  3. Workcube Industry
    Includes company industry information. Select one of the options Metal, IT, Per, and Shipyard, which are automatically defined by the system.
  4. Logos
    The part where we choose whether to receive the information (company name, address, telephone) that appears at the bottom when we print out, from the company we are in or from the branch.
  5. Human Resources Mail
    The place where we define the e-mail address to which the e-mails sent through our career portal will be sent.
  6. Make Time Spending Warning
    When we do not fill in our weekly time spending, when the next week starts, the "fill time spendings" warning comes to the first login to the system and directs it to the time spending page. In addition, when selected, the employee performs the position cost control before recording the time spent entered in the job detail.
  7. Do you want to track projects in Sales and Purchase transactions?
     The parameter that we define is whether it will work in a way that can be associated with the project in our buying and selling transactions (invoice, delivery note, etc.). Should the project selection area appear in transactions or not?
  8. Customer access control based on sales regions
    In the sales planning module, we can define the region and create the authorized person or teams on the basis of the region or branch. When filtering is done from the members' section, people working in the region can see the members in that region. Users who are not authorized to sales regions cannot see customers in that region
  9. Control customer access by branch offices
    If Yes is selected, the employee can see the members associated with that branch in which he is authorized.
  10. Do you want the list pages to run unconditionally?
    If Yes is selected, it allows us to list on the list pages without any conditions. Yes, if not selected, we need to filter at least one field on the list pages. If selected, the dates are filled. It is recommended for performance reasons.
  11. Do you want to deactivate the control of the number of records on the list displays?
    This option allows the maximum number of records to be set to 250. When the check box is checked, the maximum number of 250 records is ignored and allows more records. It is recommended for performance reasons.
  12. Allow multiple analysis results entry
    Allows multiple analyzes to be entered by members.
  13. Perform Document Closing Transaction
    When selected, the invoice is closed manually when a payment is received. When you make a transaction, it opens the document closing page.
  14. Perform Cost Transaction
    It ensures that cost records are created in the system and costs appear in the relevant reports.
  15. Cost Calculation Method
    The parameter we choose whether to calculate the cost in USD or whether each currency should be calculated within itself (calculation information can be accessed from the Help field)
  16. Perform Forward and Backward Currency Transactions
    The currency on the transaction date is automatically displayed.
  17. Gets the exchange rate from the previous document
    Even if the order, delivery note, and invoice dates are different, it receives the rate of the document it is composed of. In the invoice created from the model order, the rate on the invoice will be the same as the rate on the order.
  18. Group Accounting Receipts Based On Projects
    If there are different projects in the accounting transactions recorded when selected, project-based records are created in the resulting accounting invoice.
  19. A detailed risk monitoring should be done?
    The basket provides risk information on Risk Analysis Report and Financial summary pages while checking documents on a line-by-line basis.
  20. Bring the "Transaction Currency" field in the risk Information as selected.
    It allows the transaction currency selected in the member's risk information to be automatically inserted into the document. The rate is taken from the rate on the document date. Even if the exchange rate information will not change, the exchange rate must be entered daily. "Do you want product-based costing transactions for produced products?" This checkbox must be selected if it is desired to follow the cost on the basis of the product for the manufactured products. If it is not selected, cost follow-up is made on the basis of spec.
  21. Show Remaining Quantity in Partial Collectible Bills
    If partial collection is made for the Notes registered in the system, it allows the remaining quantity to be displayed in a separate column.
  22. Exchange Rate Rounding Number
    Specifies the number of decimal places that the rates will appear.
  23. Purchase Price Rounding Number
    Specifies the number of decimal places to appear in purchase prices.
  24. Sales Price Rounding Number
    Specifies the number of decimal places to appear in sales prices.
  25. Should Transaction Currency be Selected in Accounting Invoices?
    For companies using Transaction Currency. If it is selected, the transaction currency checkbox in documents is selected by default.
  26. Do you want accounting transactions associated with the transaction to be updated?
    It provides whether we can manually change the accounting transactions resulting from transactions from accounting. We can only perform our updates through the transaction we have made. If we say yes, we update the transaction-related accounting transactions from accounting manually.
  27. Do you want physical assets to be selected in financial transactions?
    If a physical asset is to be selected for financial transactions (such as an invoice or check registration), this checkbox must be selected.
  28. Use IFRS Code
    It also opens fields where we can use International Financial Reporting System codes.
  29. Public Portal Accounting Account
    Account code, bag account code that contacts get during the collective registration phase.
  30. Using E-Invoice?
    If the company uses an e-invoice, this checkbox must be selected. Depending on this option, icons/definitions/filters/fields are displayed.
  31. E-Invoice Transition Date
    From the date you have given, the icons appear and the invoice is issued.
  32. Do you want to apply warranty tracking, repair, and serial number?
    In the service application details, Acceptance Delivery Information, and Delivery Information fields, serial and lot transactions in the stock module appear depending on this option. If not selected, those fields are not visible.
  33. Do you want subscription agreement to run?
    Subscriptions in the sales module appear to depend on this parameter. If not selected, it will not appear.
  34. Allow update of processed orders
    Can this order be updated when a transaction is made about the order (delivery note, invoice, etc.)?
  35. Allow update of processed delivery notes
    If the delivery note is taken to an invoice, can the records in this delivery note be updated later?
  36. Is the barcode area mandatory if the product is subject to the inventory?
    When Yes is selected, the barcode number is required if the option included in the inventory is selected on the product add page, the system does not allow product registration. Otherwise, it allows you to save barcode numbers.
  37. Generate the product code linked to the brand?
    It makes the brand and model mandatory when adding a product. The special code is assigned according to the Brand code + Category code + model name. It generates a custom code, not a product code.
  38. Want to make lot numbers mandatory?
    If ticked, stock tracking is performed on the basis of Lot No. It must also be selected in the product and the type of operation. In this way, the lot number becomes mandatory when recording the production result.
  39. Location-based follow-up
    It should be selected if users are required to make transactions only at the warehouse locations where they are authorized. If it is not selected, the warehouse authorization is not checked.
  40. Cost Tracking Based on Stock
    It allows you to track product costs on a stock basis, based on the stock in the cost records.
  41. Product Parameter Information Comes Depending on the Company
    If checked, it keeps the product information of each company. For example, in one company the product is included in the inventory and uses something different than VAT, while in other companies these options are not selected.
  42. Standard Workmanship Product
    When adding a product, the product we select here is displayed as default in the workmanship product field.
  43. Will cargo integration be used?
    It is used to send shipment information to the cargo company and to access the "Where is my cargo" information. When this checkbox is checked, the fields opened should be filled as follows.
  44. Cargo Customer Code
    The code is used to send shipment information to the Cargo company and to access the "Where is my Cargo" information.
  45. Custom Menu File Path
    If it is desired to use a menu that will be created other than the Workcube standard menu, the path of the files to be used for this menu is specified here.
  46. Get Additional Information Object
    It allows the additional information indicated by the additional information icon displayed on the update screens to appear as an object on the adding and updating screens.
  47. Content Detailed Tracking
    It affects the content report. It allows the system to keep records of who read it, when, and how many times.
  48. Check File Size?
    When this checkbox is checked, the maximum size for files uploaded to the system is specified. Files exceeding this size will not be added to the system. It works integrated with the Format Icons in the parameters.
  49. Will the SMS application be used?
    It allows sending SMS to the relevant person on the member details, Campaign, Debt/Credit Breakdown pages.
  50. Is web service required for SMS?
  • There are 2 methods for using SMS. The first one is via the server with the help of the program and the second one is directly via the web service. If this option is checked, you can use your SMS transactions over the web service without the need for a program. When this checkbox is checked, the fields opened should be filled as follows.
  • The company should be selected for the web service to be used.
  • SMS Customer Number Allows the customer number to be automatically entered in the relevant field for Sms use.
  • SMS User Name It is ensured that the user name comes automatically for the use of SMS.
  • SMS Password Allows selection of the password required for SMS use.
  • SMS Service Number Provides automatic use of the Service number for SMS use.
  • SMS Display Name Allows the name to fall into the relevant field automatically when you send the SMS. It allows information to automatically fall into the field on the target competency assessment page.

Warning: It is recommended that company flow parameters be set by Workcube certified experts. Incorrect settings operate the system according to the set values.
