Purchase Request


The Purchase Request module is the module where all purchases of goods and services within the organization are recorded and managed. The "Purchase Request" screen in this module is used to send a new purchase request to the purchasing department.


Route: ERP > Sales-Distribution > Purchasing > Purchase Request


1-Transaction Type: The transaction type will appear as “Purchase Request”.

2-Department: The relevant department is selected from this field.

3-Title: Type the subject title for the purchase request.

4-Requested By: In the requested by section, the user information that displays this screen will automatically appear. If the requester is different, you can change it from the popup.

5-To: Select the user who will evaluate the request in this field. User information in this field can also be specified from the XML setting. Write the position ID of the user you want to default with the XML of “The user who will come by default from the To field”.

6-Shipping Method: In the Shipping Method field, specify how the requested product will be shipped.

7-Task/Assignment: If the product you request is required for an assignment or task, specify it in this field.

8-Priority: Specify the priority status of your purchase request.

9-Process: In this field, specify the stage of the request.

10-Reference: In the reference field, if you came to the purchase request from another screen. For example; When you click "Convert to Purchasing Request" on the internal requests page, the number of the relevant internal request will appear.

11-Delivery Date: Specify the delivery date for the requested products in the Delivery date field.

12-Services: If the product you have requested is related to a service application, specify the relevant service application in this field.

13-Explanation: You can specify explanation/detail information about the purchase request.

14-Additional Info: You can enter additional information for your request in this field.

13-Input Warehouse: In the input warehouse area, specify in which warehouse you will keep the product you have requested when you receive it.

14-Entry Project: If the product you requested will be used for a project, specify the relevant project in this field.

15-Logout Project: If the requested product is already in inventory for a different project, you can select the logout project and logout from that project, and enter the new project.

16-Output Warehouse: If the requested product is available in inventory, it can be entered to a different location by selecting the output warehouse.



The use of the basket area is as follows;

To add products to the basket, click the “+” icon at the beginning of the basket line. A list of products will appear. From here, select the products one by one by clicking on their units. You can also add products to the basket by typing the inventory code, barcode, or serial number and pressing the "enter" key. The purchased products and services should be defined in the "Product-Inventory Management" module and added to the list of products.
You can change their amount manually. Then click the “Save” button.

On this screen, you can click the "Update" button by changing/updating the information you want, or you can click the "Delete" button to delete the request. In addition, you can perform the following operations with the help of the icons in the upper right corner of this screen.


1-Consumables Receipt Convert: You can click on this link to convert the products you have requested into consumable receipts.

2-Convert to Order: You can click on this link to convert your internal request to an order on the update screen.

3-Convert to Proposal: You can click on this link to convert your internal request into a proposal on the update screen.

4-Documents and Notes: You can add documents and notes related to the purchase request from this field.

Purchasing Request Details: When you click on this icon, you can view the budget compliance check and access the request fulfillment report if you are making a budget transaction in the transaction type.

With the help of other links, you can view additional information of the request, related notifications and perform operations such as printing, saving, copying.



Creating a Purchase Request via Data Transfer

You can use Data Transfer to create multiple purchase requests at once. Click the Data Transfer icon in the upper right corner of the purchase request registration page.


Document: Select the document with the product information in this field. The format of your document should be as written above.

Transfer Type: Make the relevant selection based on the code found in your document (inventory code, barcode, or custom code).

After specifying the necessary information, click the "Save" button and you will be directed to the order adding page. After detailed selections, you can place the order.

When you click the "List" button, you can list the products in the document you have added. You can also convert it to an order after you list it.
