Budget Categories and Budget Items


Budget Categories exist to keep the Budget Items in the system in order. Budget Items are accounting works that show annual revenues and expenditures and determine expenditures related to them.


Before creating the budget category and budget items, a budget must be created from the ERP > Finance - Accounting > Budget > Budgets screen. Budget; The company is formed by making year/period selections. Detailed information on creating a budget can be found in the article titled "Budget Planning and Control".

Budget Categories

Route: ERP > Finance - Accounting > Budget > Budget Categories

Budget categories can be created, budget categories can be listed and updated from the budget categories screen. First of all, click the "+" button to go to the budget category creation screen.

The definitions that can be made on the budget categories registration screen are as follows:

  1. HR - HR ensures that the Education: Budget category record is also placed under the HR and Education modules. Example: when recording is made by selecting HR - HR, the budget category record is also displayed on the HR - HR > Personnel-Payroll > Payroll Rules > Expense Item Categories page.

  2. Upper Category: One of the defined categories can be selected as the upper category for the category to be created.

  3. Category Code: Sub-Budget Category Code and Budget Category Code screens are numbered. According to the upper category selection, the sub-budget category code is automatically displayed, the user must enter the budget category code himself. Warning: If there is a budget item linked to the budget category, you cannot change the category code.

  4. Category: Category name can be added.

  5. Explanation: If a description is required about the budget category, it can be added.

  6. List: The budget categories list screen can be accessed.

  7. Save: After the budget category definitions are made, a category can be created with the save button.

Budget Items

Route: ERP > Finance - Accounting > Budget > Budget Items

Budget items can be created, listed, and updated on this screen. First, let's look at the budget item creation screen.

  1. Active: When adding the budget item, it must be selected as active in order for this item to be used on the system.

  2. Income and Expense: It is selected whether the budget item to be defined is income or expense.

  3. Category: One of the defined budget categories can be selected.

  4. Category Code: The code of the selected category comes to the Sub-Budget Category. The user enters his own definition in the Budget Item Code.

  5. Budget Item: The title of the budget item is defined here.

  6. Accounting Code: Accounting code selection ERP > Finance - Accounting > Accounting Definitions > Chart of Accounts can be selected according to the chart of accounts opened. Attention: Budget items are directly linked to the accounting account codes. When defining budget items, make sure that the accounting account codes are correct and appropriate.

  7. Tax Code: Tax code selection can be made. Tax codes affect the budget item proportionally.

  8. Explanation: A description of the budget item can be added.

  9. Save: After all the details are given, the budget item is created with the help of the save button.

After the budget item record is posted, budget items can be displayed as a list on the budget items list page according to filtering options such as accounting code, budget category, budget type, and activity status.

Budget Report

Route: BI - Report > Standard Reports > Budget > Budget Report

After the budget categories and budget items are created, a budget report can be generated. It is also possible to generate different types of reports with the budget report.

The budget report is issued according to various options, these are;

  1. Budget: Budget selection can be made.

  2. Project: Project-based budget selection can be made.

  3. Expense/Revenue Center: It is possible to select the Cost/Revenue center associated with the budget.

  4. Report Type: The type of report to be issued can be extracted in many ways, according to the date range and according to the months. Type: Filtering options vary according to the report type selection. For example, if the report type is selected on the basis of activity, a budget report can be prepared according to the activity types.

  5. Status: Reports can be prepared according to planned and actual budgets.

  6. Date Interval: According to the selected date intervals, budgets between those dates can be reported.

  7. Options: "2nd currency", "show difference", "show status", "income-expense difference", "0 value records not included", "VAT / OTV included", "income", "expense", "activity type The details to be included in the budget report are filtered with the options "show", "transfer".

  8. Budget Planning Receipt Transaction Category: The budget report can also be listed according to the transaction categories here.

  9. Transaction Type: A budget report can be issued according to the transaction type.

  10. Import Excel: If this option is selected and the run button is pressed, the extracted report can be downloaded directly in Excel format or added to the digital archive.

  11. Run: After all the details are given, the report is generated.

For example, the budget report based on income and expense according to the budget item is as follows. The planned and actual income-expense difference is located at the end of the basket area as a percentage.
