Payment Requests


One of the stages of effective Debt/Receivable management is the request for payment. The status and urgency of existing requests on the system can be examined. As a result of this examination, the creditor may request the debtor to pay the debt.

Debt/Receivable management, businesses can track who owes what to whom and then make transactions. Suppose we examine the financial situation of the business in a Debt/Credit Breakdown, the creditor can request payment from the debtor as a result of the data obtained from this breakdown. It is also possible to make a payment request and order from the current account detail. The current account is examined and as a result of the examination, the creditor takes an action to collect the amount to be received from the debtor. Warning: In order to make a Payment Request, the user must be authorized from the authorization groups. Otherwise, the user cannot process the payment request.

Warning 2: Defining the processes correctly is also of great importance for the realization of the payment request. Before the Payment Request, it should be ensured that the Payment Requests, Payment Orders, Invoice Closing Processes are done correctly. Example: Suppose the Request for Payment is designed in a process logic as follows: 1 - Request, 2 - Check, 3 - Ordered, 4 - Partial Approval, 5 - Reject. If the process stages were not defined correctly and did not proceed depending on the authorization of more than one user, the probability of this payment request being successful and the company's revenues would decrease at the same rate.

Warning 3: Parameters such as Payment Methods, Interest Rates must be made before requesting and at the same time Output templates for Payment Request must be created.


Payment Requests List

All payment requests on the system can be listed with various filters on the Payment Requests list screen. An existing payment request can be edited or a new payment request can be made.

  1. Stage: According to the Payment Request process definitions, the stages are listed here. For example, the user can only filter the payment requests that are in the "Control" stage on the system as a result of this selection.
  2. Transaction Type: By selecting the transaction type, transactions such as Payment Order and Document Closing can be displayed as well as the Payment Request.
  3. Status: Requests with and without a payment order can be viewed.
  4. Currency: Selection can be made according to the currencies defined in the system. The information of which currency the Payment Request was made is indicated in the basket area.
  5. Print: Selection can be made according to the templates defined on the system, and the data can be printed, downloaded and sent via e-mail at the same time.
  6. Add Payment Request: Click the button here to request a new payment. Detailed information will be given in the Creating a Payment Request section.
  7. Current Account: Selection is made from the current accounts defined on the system. Thus, all payment requests associated with that current account can be listed.
  8. Transaction Date: Listing of payment requests in certain transaction date ranges is provided by the date filter here.
  9. Maturity Date: Payment requests can be listed according to maturity date ranges.
  10. Record Date: A list can be made according to the registration date of the payment request.

After clicking the "Search" button, the requests are listed in the basket area with the details of the document number, document type, current account, IBAN, explanation, stage, request amount, order amount, invoice closing amount, average maturity, saved by and recording date.

Blue and red colors show debit and credit in positive and negative values.


Creating a Payment Request

Click the "+" button on the list screen to create a Payment Request. Afterwards, the filter screen welcomes us to request a payment.

On this screen, Current Account, Project, Currency, Checked By, Invoice Control, Maturity and Transaction Date, all invoices with or without invoice closing process can be posted.


After selecting the invoices to be paid in the Transactions section, the Financial Summary can also be viewed if desired. As a result of this review, a healthy request is created.


At the end of the page, the total of debit and credit is automatically displayed according to the invoices selected from the Transactions. The "Create Request" button is clicked to request payment by giving details such as contract, order, explanation, request date, average maturity, process and payment method regarding the request.


After the request is created, the request can be updated or it is possible to place a payment order for this request.
