Accounting Period


The Accounting Period is the period between the start of the accounting process and its completion.


Route: Dashboard > System > Period Transactions > Accounting Periods


1-Integrated: If Yes is selected, the accounting module works integrated. It is recommended to be selected.

2-Get accounts chart compared to the previous period: If Yes is selected, the accounting chart of accounts in the old period will be carried over to the new period.

Note: If the box is not checked, the new period will be opened with the standard single chart of accounts. 

Your old accounts will not be defined in the new period. You need to define new accounts. You can get detailed information about the subject by examining "the Chart of Accounts document at the beginning of the Fiscal Year".

3-Company: In this field, it is selected which company the period will be opened under.

4-Period Name: In this field, the name of the period is specified. Example: ACME 2021

5-Inventory Management: In this field, how the cost will be run is selected.

6-Period Year: The period year is selected from this field.

7-Accounting Transaction Date Constraint: It is the date constraint that occurs in all documents that make accounting transactions. No update or change can be made to any accounting record before the date specified in this field.

8-Budget Transaction Date Constraint: It is the date constraint that occurs in all documents with a budget setting. No update or change can be made to any budget record before the date specified in this field.

Tip: Transaction date constraints can be set both in the employee detail and within the accounting period. If different dates are determined in the two fields, the date determined in the employee detail is taken into account first.

Note: The date constraint set within the accounting period is general. It covers all existing users in the system. After setting and updating a date constraint in the Accounting Period, it will automatically assign a date in the employee details of all users defined in the system. After the date is determined within the accounting period, this restriction can be removed in the employee-based employee detail.

What is done to the employee covers only the employee himself. To make an employee-based transaction date restriction;

Route: Employees > Roles-Positions > Settings > Accounting Period

9-Date Range: This field depends on XML. It is only for those who use a special accounting period. For example, someone works in Schools. Since the financial start of the schools is not January 1, a date can be defined in this field. If you want Date Range to be used, "Use Date Range?" in Dashboard > System > Page Settings > XML Setting. the field must be selected as “Yes”.

10-2nd Foreign Currency:   It is obligatory to choose the 2nd foreign currency. In addition to transactions made in TL, Workcube also keeps records in the currency selected here.

For example; When USD is selected, Workcube allows us to see the transactions made in TL as well as USD. In particular, it allows us to see it in different currencies in reporting processes.

11-Standard Transaction Foreign Currency: This allows you to select the system's trading currency. Transactions in Workcube with the selected currency keep currency records here

12-Database Information: DB Username, DB Password, and CF Password are mandatory fields and a period is opened in the database by entering the password. In this way, everyone is prevented from opening a period.

If this information is not available, you can request your password information from the Workcube Support Form field. Password information is given to the "Project Manager".


After the necessary definitions are made, you can complete your "Accounting Period" creation process by clicking "Save".

Warning: If you want to make a transaction on Workcube, there must be 2 different currencies in the system.

System Lock 2. Currency: If the box is checked, the currency selected in the field with the 2. Currency unit will remain fixed and the box will not allow changes in this field without unchecking it.

You can add a new Accounting Period by clicking the “+” icon on the top right, you can delete your record with the help of the “Delete” button or update your record with the “Update” button.


Database Information

Database information was added with Holistic version 22.3.

Your period charts are listed in the data source area. Each time a new period and company are created in Workcube, a new period chart and company chart belonging to the company created in the database are created.

Tables and fields in the newly created period chart are compared with the previous period. In this way, while the period is being created, it is possible to select the schema and to create the tables and fields to be found in the new period schema.

"Upload General Purpose Factory Settings Best Practice to the New Accounting Period": It is specified whether the ready data and data created by Workcube Center, that is, the factory settings, will be used in the new period.

In the Definition and Master Data field, it is observed which ready data are available.
