Budget Dashboard


The Budget Dashboard is a one-page ready-made report showing the revenue and expenses of the budgets with graphics. With the report's clear and easy interface, managers effectively detect anomalies in the budget and take the necessary actions.

In order to get full efficiency from the Budget Dashboard, it is essential to perform the following operations correctly;

  • Budget processes and authorizations must be done in order to benefit from the Budget Dashboard screen. If the processes and authorizations of the budgets have not been made, these can be done by reading the article titled "Budget, Expense and Income Process and Authorization".
  • An accurate definition of budget transaction categories should be made. For detailed information, you can read the article titled "Budget, Expense and Income Transaction Categories".
  • Afterward, a budget should be created from the ERP > Finance - Accounting > Budget > Budgets screen. The budget is created by selecting the company, year/period. Detailed information on creating a budget can be found in the article titled "Budget Planning and Control".
  • The Budget Dashboard report cannot be accessed on these bases before the budget category and budget items are created. For detailed information, you can read the article titled "Budget Categories and Budget Items".
  • A Budget Dashboard report cannot be generated by selecting Expense and Income Centers without the Expense and Income Centers. For detailed information, you can read the article titled "Expense and Income Centers".


Note: If desired, by going to Dashboard > System > Page Settings on the Budget Dashboard screen, the option "Let Expense Centers Come According to Authorized Branches and Departments" can be selected as yes on the Budget Dashboard screen. Thus, the expense centers that the user does not have authorization do not appear, and therefore the user cannot access the Budget Dashboard report of the expense centers of those branches and departments.


Now, let's show on the records how the Budget Dashboard can detect budget problems when the above operations are done correctly.


Budget Dashboard Example Usage

In general terms on the Budget Dashboard screens;

  1. Expense/Income centers can be selected, and budget dashboard reports based on control type, budget item, budget category and activity can be generated with graphical expressions, especially revenue and expense, with date intervals.
  2. Income and expense reports can be taken out of the system separately as Google Tables, Excel, Word, PDF, and it is also possible to send these report results by e-mail or to print them out.

Now, let's get the budget dashboard report of the budget category titled "Sales and Marketing" through the model screens. Under our budget category, we have a total of five budget items, two of which are revenue and three are expenses.

  1. Let's issue the budget planning receipts according to the budget items under ERP > Finance - Accounting > Budget > Planning Receipts. Warning: You cannot use the budget dashboard report without issuing the budget planning receipts. Budget planning receipts can be issued from the Budget > Planning Receipts page. The invoice is issued by selecting the relevant budget, selecting the Expense / Income center, budget category, budget item, and entering the invoice amount.
  2. The charts of accounts to which these budget items are linked are collected under the same expense and revenue centers as the accounting codes. Let's make sure that all revenue and expense receipts related to these budget items are related to the expense and revenue center that we want to collect under these receipts.


Budget Dashboard Report

Expense/Revenue center is selected. Based on our example, we select "Sales and Marketing" for the expense/revenue center and list "Based On Budget Item".

We can see the percentage difference between revenue and expense in the first section.


In the continuation of the report, under the Incomes section, the amount of the Planned and Performed transactions of the Budget Item and the Expense Center are shown. The difference is also expressed numerically and as a percentage. The last line of the Basket field has "Grand Total". This is also expressed graphically.


Under the Expenses section, the amount of planned, reserved, used, realized and free budget transactions of the Budget Item and Cost Center is shown. The difference between the planned and the actual is also expressed numerically and as a percentage.


Thanks to the Budget Dashboard, the revenue and expense mismatch in the budget was detected. Now it is possible to meet with the people responsible for sales and marketing and make decisions in the light of this report.
