Advance Request


During the year, employees can be given advances other than their salary. Advance is a fee that is included in the monthly wage. You can approve or reject the advance requests of the employees on Workcube, a certain amount of advance can be given or it can be proportioned according to the employee's salary. The time periods in which these allowances will be given can also be adjusted.

Creating an Advance Request

To create an Advance Request, the first step to be followed must be entered on the My Home > HR Operations > Advance Request Creation screen.

  1. Employee: Indicates the area in which the employee is selected.
  2. Process: It refers to the area where the processes defined in the system are selected.
  3. Subject: It refers to the field where the subject related to the advance request is entered.
  4. Explanation: If it is required to enter an explanation about the advance given to the employee, it refers to the field to be entered. 
  5. Information: It refers to the area where the person to be informed about the advance request is selected.
  6. Priority: It refers to the area where the employee indicates the need for advance payment.
  7. Date: It refers to the area where the application date of the advance deduction is selected. 
  8. Amount: It refers to the field where the advance amount given to the employee is written.


In order to create an Advance Request, a new advance request must be created from the Deduction Definitions under the Other tab in the Tab Menu on the HR > Personnel Payroll > Payroll and Timekeeping screen.


Warning: Advance types come from the "Deduction Definitions" screen.

To add an Advance Type, the "Selectable in Advance Requests" checkbox must be checked. If the relevant field is marked, the advance request will be selected as the advance type on the registration screen.

If the advance type is to be paid in installments, the "Advance split into Installments" checkbox must be ticked.

The selection of the "Account Type" should also be provided in accordance with the advance.


Approving the Advance Request

Advance payments requested by the employees are displayed in the HR > Personnel-Payroll > Salary Management and Personnel Affairs field.

Our priority action should be approval or rejection by clicking on the pencil icon. After giving approval, click on the check box that opens on the side, click on Payment, and click on save from the newly opened window.


Advance Request Control

After the recording process is completed through the HR > Personnel-Payroll > Payroll and Timekeeping field, checks should be made on whether the approved advance request occurs on the employee's wage card.

Reflection of Advance Request on Payroll

When the relevant month's payroll is run through the HR > Personnel-Payroll > Payroll and Timekeeping field, the approved advance deductions are shown in the section.


Creating the Installment Advance Request

In order to create an Advance Request, the first step is to enter a Request for Advance in Installments by clicking the "+" icon on the HR > Personnel Payroll > Salary Management and Personnel > Installment Advance Request in Installments screen.

  1. Process: It refers to the area where the processes defined in the system are selected.
  2. Employee: Indicates the area in which the employee is selected.
  3. Advance Type: It refers to the area where the advance type defined in the deduction definitions is selected.
  4. Amount: It refers to the field where the advance amount given to the employee is written.
  5. Number of Installments: It refers to the area in which the advance deduction will be made in installments for how many months is selected.
  6. Start Month: Indicates the area in which the month in which the advance deduction will start is selected.
  7. Explanation: If it is required to enter an explanation about the advance given to the employee, it refers to the field to be entered.


Listing and Approving the Installment Advance Request

  1. Filter: When the name and last name of the employee is entered in the relevant field, it refers to the field where only the installment advances of the relevant employees will be listed.
  2. Transaction Start Date: It refers to the area where the requested installment advances are listed as of the selected date.
  3. Branch Office: Indicates the area where the relevant branch office is selected.
  4. Status: It refers to the area where the relevant installment advances are listed, whichever of the Accept/Reject stages is selected.
  5. Outgoing Money Transfer: It refers to the area where the transfer transactions of approved advances are made.
  6. Payment: It refers to the area where the outgoing transfer transactions are made through the system, and the payment status is paid.


Warning: Approval and listing are done on the same screen.

Warning 2: First of all, the stages of Acceptance/Rejection must be selected over the pencil icon of the application. In case of approval, outgoing transfer and payment transactions should be made.

Warning 3: Paid must be selected from the Payment field for the advance transactions that have been paid.
