Consignment Transactions


A sale made by a seller with another dealer, distributor, or broker to get the value of his goods after the sale is called "consignment". The sending business and the receiving business to sell the good form an agreement regarding the sales conditions of the good.

The goods sent in this way are called consignment goods, and the sale process is called consignment sales. In consignment sales, the ownership of the goods again belongs to the sales company, that is, to the sender of the consignment goods.


To make consignment transactions in Workcube; You need to define your Consignment Invoice, Consignment Input Delivery Note, Consignment Output Delivery Note, Consignment Exit Return Delivery Note, Consignment Entry Return Delivery Note.


Consignment Exit Delivery Note

ERP > Sales-Distribution > Shipment-Logistics > Sales Delivery Note

It is recorded by filling in the necessary parts, adding the products to be sold on consignment to the delivery note, and selecting the "Consignment Exit Delivery Note" transaction type.

Tip: In order for the consignment transfer and reporting to be carried out properly, after the transaction type is saved, no change should be made between the transaction types in different process_id. For this, "Control Transaction Type?" XML setting must be selected as "Yes".


Consignment Invoice

ERP > Sales-Distribution > Invoice > Sales Invoice

Select the transaction type “Consignment Invoice” and click on the delivery note popup after selecting the current account in the delivery note.

When you select the amount to be invoiced, click the box next to it, and click the add button, the product and its amount will be transferred to the invoice line.

We convert 50 of them into invoices by adding 50 of the "remaining" part of the 100 on the delivery note to the invoice line.

Tip: If the entire delivery note is to be converted into an invoice, the box next to "Delivery Note Number" is checked and added. If it will be converted to a partial invoice, the delivery note number is clicked and the amount is added to the remaining field.


Consignment Exit Return Delivery Note

ERP > Sales-Distribution > Shipment-Logistics > Purchase Delivery Note

It is the delivery note you create for your returned consignment products. Transaction type “Consignment Exit Return Delivery Note” is selected, since it is a return-type transaction, delivery note is also selected. After selecting the relevant current, the delivery note popup is clicked.

By selecting the returned quantities from the listed delivery notes and clicking the add button, the products are added to the line of the consignment exit return delivery note with their quantities.

Tip: Do not forget to make the following XML settings before consignment transactions.

1 - Check the type of operation in the selection of the delivery note in the consignment delivery notes
If Yes is selected, only consignment type delivery notes are allowed to be selected when selecting delivery notes in consignment transactions. E.g; Even if you are authorized for the goods receipt transaction type, this transaction type will not appear in the update.
2 - Project control in consignment transactions
If Yes is selected, the following checks are made regarding the project in consignment returns; If a project is selected on the consignment delivery notes, it is checked that the same project is selected in the return process. If a project is not selected on the consignment delivery notes, it is not allowed to select a project in the return process. When more than one consignment delivery note is requested to be returned, it is checked that the same project is selected for all of them.
11 - Should the associated exit delivery note be mandatory in the consignment return process?
If it is selected as Yes, an associated exit delivery note must be selected in order to process the consignment return exit issue.

This includes the transactions you have made, that is, the movements of your consignment products; You can get the “Consignment Report” based on transaction type, current, brand, project, warehouse, stock, document, and within the date range you specify.


Consignment Report

ROUTE: Report > Standard Reports > Consignment Report

  • Consignment delivery notes and related transactions (return-invoice) for the periods covered by the given date range in the report are listed together with their costs. The date range can be entered to cover more than one accounting period (1/1/2019-31/12/2021).
  • "Delivery Note Period" ensures that only the consignment delivery notes registered in the relevant period are listed in the given date range. The return and invoice information regarding these delivery notes are checked within the given date range. For example: When the date range 1/1/2020-31/12/2021 and the delivery note period are selected 2019, the consignment delivery notes in the 2019 period and the registered return and invoice transactions of these delivery notes between 1/1/2019-31/12/2020 can be reported.
  • If "Unclosed Documents" is selected, all consignments with remaining amounts between the start-end dates are listed. When "Carryforwards from Previous Period" is selected, all consignment documents in the active period and only consignments with a balance from the previous period are listed.
  • When "Monthly billing information" is selected, invoices of delivery notes are listed monthly in separate columns with cost information.
  • If “Bring From Carryforward Transaction” is checked, only carryforward transactions are reported. If unchecked, the report brings data by looking at all periods.
  • "Transfer to Table" option can be selected together with document-based reporting and "Monthly billing information" filters. Report results are transferred to a table named "consigment_report_table" in the company database. (Transfer to table selection is based on xml.)


Consignment Carryforward Transaction

ROUTE: Dashboard > System > Period Transactions > Consignment Transfer

Consignment Transfer allows the consignment exit delivery note transactions from the previous period to be transferred to the next period. It is used with the “Bring From Carryforward Transaction” option in the consignment report.

In order to get accurate results, consignment transfer should be carried out regularly every year.

For example;

In 2020, 1000 consignments were issued and in the same year 100 were invoiced and 100 returned.

When the carryforward is made in 2020, the remaining consignment amount is 1000 - 100 - 100 = 800.

In 2021, 200 invoices were invoiced and 50 returned.

When 2021 is carryforward, the remaining amount is calculated as 800 - 200 - 50 = 550.

If only 2021 is carryforward without carryforward at the end of 2020, the carryforward to 2021 is considered as 1000 and calculated as 1000 - 200 - 50 = 750.


Note: You can use the consignment report without carrying out a carryforward transaction. You should not select the "Bring From Carryforward Transaction" option.
