Shared Use


All physical assets owned by a company, such as machinery, equipment, buildings, motor vehicles, and IT assets, could be in shared use. Companies make it easier to keep track of physical assets by keeping records of which employee used in which date range.


Route: Physical Assets > Machinery / Equipments / Buildings - IT Assets - Motor Vehicles

In order to make a reservation for physical assets on the shared use page, first of all, the "Shared Use" box must be checked in the physical asset detail.


Physical assets that have the Shared Use box checked will be displayed on the shared use page and become available for the reservation process.

  1. This indicates that the physical asset is reserved. (Black Flag) indicates that the physical asset can be reserved. (Red flag)
  2. The shared use list can be downloaded or printed as excel, word, pdf.
  3. The data in the Asset, Category, Status, Location, and Responsible field comes from the physical asset detail.

To view the reservation history of the physical assets in the list, the flag icon shown in the 1st area is clicked. A new reservation can be created by clicking the icon in field 2 on the history page that opens.


Process: This is the area where the reservation process is selected.

Start and End: This is the field where the date and time of the reservation are selected.

Staff: The employee for whom the reservation is made is selected from this field.

Explanation: This is the field where additional explanations about the reservation are entered.

Note: The ability to enter the start and end date on the Reservations page depends on the XML settings. From the Reservations page, go to the XML setting, and "Bring the Start Date?" and “Bring the End Date?” settings should be selected as “Yes”.


After the reservation registration is completed, it is listed in the history field.
