Serial Number and Lot Tracking


Lot No is used to track and monitor the life cycle of a product in production, purchase, sales, and service processes, and Serial No is used to singularize each product.


Lot No: It is the group or lot number given to the products. Under the same conditions, the stocks resulting from the production with the same components on the same equipment or workstation are separated by giving Lot No. Similarly, non-manufacturer companies can label the same products with lot numbers when they are imported or at warehouse goods receipts. In this way, sorting of goods makes it easier to monitor stock and perform quality control. Especially in large warehouses, grouping and labeling of goods purchased at different suppliers and times allow following the product life cycle.

Serial Number: A number assigned to each product to make it unique and distinguish it from others. While the serial number is used only for warranty control or version control, in recent years it has started to be evaluated under the title of PLM - Product Lifecycle Management, especially in the pharmaceutical and food sectors. In Workcube, every product from a pickle jar to a computer, from a car to a fabric ball can receive a Serial Number on a unit basis.

Lot and Serial No Usage Practices: Serial No and Lot No can be used at the same time or separately. For example, a company that produces chemicals can give a lot number to the 100-ton production result and fill the barrels, while labeling which batch each barrel comes from. A computer importer identifies the computers it offers under warranty by recording the serial number of each computer in its system. When a computer of the same brand and model is brought to this business, he can easily understand whether it is a computer he sells by checking its Serial Number.

In some cases, both Lot No and Serial No can be used at the same time. While deduplicating the jar by printing a unique QR code on a pickle jar, both Lot No and Serial No information can be embedded in the QR code. Thus, PLM can be done. Lot No gives information about the field from which the cucumber used in a cauldron pickle came from and when the production was made, while Serial No gives information about filling and packaging. The Serial Number makes the product unique and provides the opportunity to monitor the entire life cycle of production, storage, sales, and after-sales.


Warning: System > General Settings > Company Flow Parameters "Do you want to apply warranty tracking, repair, and serial number?" When the option is yes, it becomes mandatory to enter the Serial No. for the transactions of the products followed by the Serial No.


Lot Number and Serial Number Tracking in Product Records

The above checkboxes must be selected for products that require Lot and Serial No tracking.

Follow Lot Number: If this checkbox is selected, the lot number is tracked in the production result and consumable transactions, purchase, and sale transactions.

Follow Serial Number: If this checkbox is selected in the product detail, the serial number is followed in the production result and consumable transactions, purchase, and sale transactions.


Lot No and Serial No in Basket Settings

In Workcube, baskets are used in all purchase-sale, entry-exit documents. In the basket settings used in each document, the Lot No column must be selected and the Warranty Serial No checkbox under Basket General Details must be selected.

In outgoing transactions; Lines can be added to the basket by searching the Serial No and Lot No with the barcode device. To use a barcode device, the barcode device option must be active in the basket settings.


Lot Registration Procedures

The products with the checkbox for Lot following are registered in the following transactions.

  1. Production Result
  2. Purchase Delivery Notes
  3. Sales Delivery Notes
  4. Imported Goods Entry
  5. Inter-Warehouse Transfer Delivery Notes
  6. Inventory Transfer Transactions
  7. Inventory Receipts: Consumable, Waste, Count
  8. Service Transactions

Lot entry and exit records are integrated with the above-mentioned transactions. For each stock transaction, the Lot No of the stock is entered on the basket line. Lot No. is followed exactly in stock records. If the same stock has more than one Lot No, a record is made by opening as many lines as the Lot No number for that stock. Thus, the basic structure of grouping, counting, and cost tracking of stocks on a lot basis is formed.

Warning: In enterprises using Lot No and Serial No tracking, the Lot No column should be selected in the basket settings in the implementation.

Serial No records are not recorded directly on the document and basket lines. Depending on the document and basket line, it is done on the "Serial Number Editing and Registration" screen. Each serial number registration is recorded according to the stock and lot number and line registration number in the above documents. Serial Nos, which are not entered depending on the production result, receipt, and import goods receipt, cannot be used in sales and stock receipts. Because Workcube controls the entry in order to issue the Serial No. A serial number without an entry cannot be exited.


Serial Number entry is used for 2 purposes: To singularize stocks and to follow up guarantees for products with guarantees.

3 methods are used in the serial number entry transaction.

  1. Consecutive: There are 3 inputs in the Product Serial No. The values entered into these inputs generate numbers according to the Radio buttons from the Beginning, Middle, and End.
    • From the start: Consecutive numbers are added to the end of the value entered in the first input of the Product Serial No.
    • From the middle: Consecutive numbers are added to the end of the value entered in the second input of the Product Serial No.
    • From the end: Consecutive numbers are added to the end of the value entered in the third input of the Product Serial No.
  2. One By One: Product Serial Numbers are written manually.
  3. File: Product Serial Numbers are imported.
  4. Lot: Lot Serial Numbers are imported.

Transactions to be made for products purchased and sold with a Warranty

Warranty categories determine the warranty terms and warranty period given to the products. The coverage date is determined by adding the duration depending on the warranty start date and the selected warranty category. The scope and date of warranty given to customers as per the law are determined depending on the date of sale or delivery.


Generating Serial Numbers According to Unit 1 and 2

A product can have multiple units. For example, rice whose main unit is kg can be put in 25 kg bags. Or the fabric sold by the meter can be packed in balls. While the washing machine moves by itself without any units, some products can be in bulk. Workcube allows the production of Serial Numbers as much as the 1st unit or as much as the 2nd unit. It can singularize fabrics that come in 100 meters or different meters into balls. Individual labels can be printed on each ball. Workcube uses singularization, which is widely used in the electronics industry, in Metal, Wood, Paper, Food, and many other industries.

With the Serial No Transactions page under Shipment - Logistics, serial and lot transactions can be checked by searching by transaction type. Serial No. warranty entry - sales transactions are made through these screens.
