System Mails


Different e-mail addresses can be used when sending e-mails to contacts or accounts on the Workcube system. Mail addresses can be set from certain fields or selected during mail sending.

Company Definitions: E-Mail


When the corporate e-mail address is defined in the relevant field on the company definitions page, where the company definitions to be managed on Workcube are made, this e-mail address is provided on the official documents created on the system. For example: e-invoice, e-archive invoice, e-waybill etc.

ROUTE: Dashboard > System > General Settings > Company Definitions

The e-mails sent through the system are also received directly from the Company Definitions. E.g; Campaigns.

If standard WOC documents such as Order, Offer are used, e-mail addresses from the standards are also dynamically pulled from Company Definitions.


Company Flow Parameters: Human Resources Mail


In the company flow parameters page, which plays a role in setting the operating rules of the system, the human resources mail for the relevant company is set. If there is a career portal connected to the interface, from which e-mail address the e-mails will be sent is done from this field.

In addition, the scorecards created by the company can be sent individually or collectively to the relevant people by e-mail.

ROUTE: Dashboard > System > General Settings > Company Flow Parameters

The purpose of setting and using the human resources mail separately is to protect personal data by ensuring that only the human resources department can view the data in case of objections to the payroll or feedback from contacts or accounts 


Sending Mail from Listing Pages


It is possible to send e-mails to contacts or accounts from the listing pages in Workcube. For example, employees, products, invoices, accounts, etc.



1- To: This is the field where the primary recipient or recipients of the mail are chosen.

2- CC: A copy of the sent mail is sent to the recipient or recipients entered in this field. The e-mail addresses entered here are visible to all recipients in the To and CC fields. In short, recipients can see who more mails are sent to them other than themselves.

3- BCC: A copy of the sent mail is sent to the recipient or recipients entered in this field. However, recipients in the To and CC fields will not know that e-mails have been sent to the recipients entered in this field. In short, this field is used if it is desired to send mail to other recipients without the knowledge of other recipients.

4- Subject: It is the field where the subject of the mail is expressed with keywords.

5- From: This is the field where the mail account to be sent from is chosen. Mail account selection depends on the xml setting of the page. By clicking on the gear icon in the upper left corner of the page, the relevant XML setting is accessed.


Company: When the e-mail address is selected as a company, the system takes this information from the e-mail field on the company definitions page.

ROUTE: Dashboard > System > General Settings > Company Definitions


Branch: When the e-mail address is selected as a branch, the system receives this information from the e-mail field on the branch identification page.

ROUTE: HR > Planning > Organization Planning > Branch Offices


Department: When the e-mail address is selected as a department, the system takes this information from the e-mail field on the department definition page.

ROUTE: HR > Planning > Organization Planning > Departments


Select: When the e-mail address remains as Select, the system retrieves this information from the e-mail field in the employee detail of the user. That is if no selection is made.

6- Add company logo and letterhead to e-mails: Şirket tanımları sayfasında tanımlanan logonun maile eklenmesini sağlar.

7- It is the field where text, images, videos and links to be sent via mail are entered.

Note: Clicking on the three dots in the To, CC, and BCC boxes open the address book pop-up page. In order for the mail recipients to be included in the address book, they must be a company employee in any account and their e-mail address must be set. However, if it is desired to send e-mails to contacts or employees, the e-mail address must be set in the e-mail field on the contact and employee details page.
