Sending E-Invoice


You can manage e-Invoices from the invoice screen without the need for a different application.


Route: ERP > Sales-Distribution > Sales Invoice


After all the definitions made, you can now start your invoice sending and receiving processes.


Note: All parametric definitions related to e-Invoice must be made before all transactions.

  1. First, the invoice is recorded on the system. During registration, the system queries the current account and determines whether it is an e-invoice or e-archive invoice, depending on the liability status of the current account. After the invoice is saved, the e-icon is blue, that is, it is in the status of not sent. You can access the following details via the e icon. You can check the template before sending the invoice via Preview. If we have sent an invoice from the portal via e-Invoice Import, you can associate it by adding XML. With Send Invoice, you can send it after making the final checks.
  2. When you click Send Invoice after saving the invoice, it turns into an e-Invoice and goes directly to the revenue administration system and then to the other party. It updates the serial invoice number, current and accounting transactions that occur after sending. After sending your invoice, you can access the following details via the e icon. With Shipping Details, you can view the status of your invoice and its latest status until it is sent to the other party. You can view the final version of the invoice sent via e-Invoice Visual (PDF) as a PDF template.
  3. When you say Send e-Invoice, the revenue administration standard template and the image are created. The information contained in the template includes the definitions you have made so far and the criteria you have chosen in the invoice. You can send invoices in Foreign Currency with different currencies on W3 and view their USD equivalents from the template. The information you write in the Invoice Description field goes directly to the other party from the note field. If you have selected Delivery Note and/or order on the invoice, the fields under Invoice Date are opened and sent.


Invoice List

When you send an e-Invoice, you can follow the status of the listing or invoice detail with the e-icon.

e-Invoice: Lists all invoices (including those who do not use e-Invoice).

To be sent (Sales): Lists the invoices that have not yet been sent to the revenue administration.

E-Invoiced Accounts (Purchase-Sales): Lists the invoices with the type of Purchase and Sale transferred to the revenue administration.

Approval (Sales): Invoices sent to the government and delivered to the taxpayer are listed with this option if they are approved by the taxpayer.

Rejection (Sales): Invoices sent to the government and delivered to the taxpayer are listed with this option if they are rejected by the taxpayer.

Unsent: Unsent the invoice.

Pending Approval: Invoices sent to the revenue administration, delivered to the taxpayer but not yet accepted by the taxpayer, are listed with this option.

Non e-Invoice: Lists invoices that are not e-Invoices.

Different E-Symbol Colors

Blue: Not sent

Yellow: pending approval

Green: Confirm

Red: Rejection
