How to Update Roles-Positions?


You can make changes to the information, authorizations, and other definitions of the registered position.


Route: HR > Planning > Role Planning > Roles-Positions


You can make changes to the information, authorizations, and other definitions of the registered position. To do this; the position link in the position column should be clicked on the positions screen.

When you click on the position link, a screen will appear where you can update the relevant position and perform different actions (such as authorization, cost definition).


On the update screen, some parts are different compared to the registration screen;

In area 1;
Whether the position is actively used is determined by the Active selection box, whether the employee in the position can enter the system with the Master selection box, whether it has an important role with the Critical selection box, and whether the hierarchical system will be displayed in the organization chart is determined by the "Display on Organization Diagram" selection box.

In area 2;

Open Date, Observation Time, Dynamic Hierarchy fields are displayed.

The opening date represents the posting date of the position and is automatically assigned and cannot be changed.

Observation Time can be specified for employees who will take part in the position, if there is an observation time.

In the first field of the dynamic hierarchy, the hierarchy codes found in the company/region/branch office/department/position types in the department breakdown specified for the position are displayed, and in the second field, you can specify a hierarchical code that you specify.

In case of a position change in the Task Start / End Date field, you can specify the date of the change in this field.

 

In area 3;
If an employee is specified for the position, the position of the employee is displayed in this field. For the employee who has more than one position, all the positions held in the same way are displayed in this area. The tab opens and closes with the V sign on the right side of the field.
 

In area 4;
The workgroups that the employee belongs to are displayed in the Workgroups field. For detailed information: Organization Planning > Work Groups

In area 5;
There are many functions such as the authority and responsibilities that this position will have, the qualifications required for the position, career planning, and position cost. If we consider these functions in detail;

Notifications; While on the position screen, the approval request and Notifications added by following the Communication > Add Notification steps are displayed on the notifications screen.


Tip:
For the added notification/information, this notification/information is displayed as a pop-up on the screen of the selected official.


History; The history of changes made in the position card, such as position, position type, department, is kept.

Career Planning; You can view the upper and lower positions defined for the position type specified on the position card and the qualification definitions for these positions. This function of Workcube allows you to have information about how sufficient the employee in this position is for the upper or lower positions. For detailed information, see Position Types

  • Authorities and Responsibilities;
    There are authorities and responsibilities given to employees in every business. In Workcube, this information is kept on the position card. To access this information, it can be accessed from the "Authorities and Responsibilities" link under the Other drop-down menu in the upper right corner of the position card (position update screen).
    The authority and responsibility information displayed in the position detail comes automatically from the task and responsibility information defined in the "Position Type". Apart from this, you can add authority and responsibility information in the position detail. For detailed information, see Position Types
  • Backups and Supervisors; 
    Within the Workcube role planning setup, you can choose a substitute for a position or employees that will be superior to a position. This function provides backup for leave processes, performance evaluation processes, or vacancies on Workcube. 
    On this screen; The information in the position field will automatically bring the person working in your current position on the update screen. This field is empty for a position where an employee has not been assigned, you can use this field to specify an employee.
  • In the Supervisors field, the 1st and 2nd Supervisors fields automatically bring the department managers specified in the position detail to this field, but they can be changed. You can still use these fields to define different supervisors.
  • It is used to specify the manager who will be notified of the evaluations (such as performance evaluation) for the employee in the "Feedback Giver" field. In the Backups area, you can select the employees who can be assigned to this position in case the employee in the position is assigned to another position or the position is vacated. If you click the "Save" button after specifying the required information, this information will be saved and displayed in the Supervisors and Backups list.
  • Employee Entry - Exit;
    It can be displayed on the update screen if an employee has been assigned to the position you are in and if this employee exited or started the job. Thanks to this function, it is possible to reach the information of the employee in the position, on which dates, and in which units. To do this, click on the "Employee Entry and Exit" link under the Other drop-down menu in the upper right corner of the position update screen. When you click on this link, the “Employee Entry and Exit” screen will appear.
    Employee
    If there is an employee assigned to the position, you can view the information (e-profile card) of this employee. You can reach this by clicking the "Employee" link under the Other drop-down menu in the upper right corner of the position update screen.
